Position Brief
As a trusted authority on digital asset investing, Varys Capital provides secure access to the transformative asset class through its multi-strategy approach to investment returns in early-stage venture and quantitative trading, with a focus placed on decentralized finance.
The firm is now seeking a highly capable, energetic, and resourceful Executive Assistant tasked with supporting the managerial team. This is a fast-paced and agile work environment so being capable of juggling multiple aspects of the role, having thick skin, and being innovative is a necessity. You would act as the first line of defense for the executive(s) ensuring organization and efficiency.
Requirements
Must-Have
- Must be proficient in the use of the English language (both verbal and written);
- At least 3+ years in the business administration field and/or supporting senior management;
- Bachelor’s or advanced degree preferred;
Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) as well as Mac application comprehension; - Exceptional writing, editing, and proofreading skills (in English);
- Excellent organizational and time-management skills;
- Must be very detail-orientated;
- Must possess strong analytical and social skills as well as being good at building relationships; and
- Can work well under pressure and be able to meet deadlines.
Nice-to-Have
- Must be proficient in the use of the English language (both verbal and written);
- Being capable of speaking, reading, and writing Thai is a plus but not required; and
- Familiarity with financial services or institutions (e.g. bank, investment company, M&A, etc.) is a plus but not required.
Role & Responsibilities
Managerial Coverage
- Manage scheduling for company executive(s);
- Adhere and assist in formulating Delegation of Authorization (DOA) (e.g. managerial sanctioned decision making, reformatted payment authorization with thresholds, etc.);
- Determine priority of matters of attention for company executive(s); redirecting matters to staff to handle, or handle matters personally, as appropriate;
- Gather quarterly data submitting draft reports for management to review and approve;
- Draft Weekly Standup Meeting briefs and present daily briefs of tasks due as well as the progress made;
- Act as the point of contact among executive(s), employees, clients, and other external partners;
- Advance company initiatives and goals from an executive standpoint;
- Draft, review, and send communications on behalf of company executive(s);
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings;
- Note-taking in meetings (in-person and Zoom);
- Answer and respond to phone calls, communicate messages and information to the executive in the form of a daily brief;
- Prioritize emails and respond when necessary;
- Coordinate travel arrangements (e.g. plane tickets, hotel reservations, car rentals, documentation filing for entry via customs, etc.);
- Maintain various records and documents for company executive(s) and filing of said records; and
- Light PA (personal assistant) domestic duties (e.g. placing food orders online, overseeing domestic staff, ordering household items online, etc.).
Corporate Coverage
- Managing companywide scheduling, controlling the calendar ensuring efficiency and organization;
- Liaising with the senior business administrator, and
- Liaising with the coordinator.
